What to include in a voice-agent project brief

Choose the purpose of the call

Decide whether the first version answers routine questions, captures callback requests or books specific appointments. Each additional action creates new cases to handle. Write a short list of supported requests and make sure staff agree on the answers before building the call flow.

Map uncertainty and interruption

Real callers interrupt, change their minds and provide incomplete details. Test names that are difficult to transcribe, background noise and requests outside the supported service. The system needs a way to confirm important information and to stop repeating an unsuccessful question. Provide a practical route to staff or a callback queue.

Confirm before changing a calendar

A booking flow must use the actual availability and rules of the connected calendar. Confirm the service, date, time and relevant timezone before a booking action. Do not imply that a request is confirmed if the calendar has not accepted it. Define how cancellations, duplicates and unavailable slots should be handled.

Plan the operating routine

Assign someone to review failed calls and update business information. Agree how the agent identifies itself, what information is retained and who can access it. Launch with a limited scope and inspect sample conversations before expanding. The result should make reception work easier to manage, with understandable fallback behavior.
